Members

Invite users, change their roles, and remove access

The Members tab in Account Settings is where you control who has access to the current account and what they can do. Only users with admin-level permissions can manage members.

Where to find it

Open Settings → Members. You'll see everyone who currently has access to this account, plus a list of pending invites that haven't been accepted yet.

Inviting a user

  1. Click Invite User.
  2. Enter the user's email address.
  3. Pick a role — this sets their baseline permissions across the account. See Roles for a breakdown.
  4. Click Send invite.

If the email matches an existing Gridwork user, they accept the invite and then sign in with their existing password — an invite never sets a new password for an existing account. If they don't remember it, they use Forgot password on the sign-in page. If the email is new, the invite holds the role assignment until they register; the account is automatically linked when they verify their email.

Tip: Invites expire after a few days. The pending list shows expiry; resend or revoke from the same row.

Changing a member's role

  1. Find the member in the list.
  2. Open the role dropdown on their row.
  3. Pick the new role.

Changes take effect immediately. The member sees the new permissions on their next request — no sign-out required.

Per-company / per-location overrides

For more granular control, an admin role gives baseline permissions and you can layer per-company or per-location grants on top via the Roles tab. Useful when one user manages two specific locations but shouldn't see the rest of the account.

Removing a member

Click Remove on a member's row and confirm. Removing a user only detaches them from this account — their Gridwork user record and access to other accounts (if any) are unaffected.

Tip: When a colleague leaves the organization, remove them from every account they had access to. Their Gridwork user can still be reused if they later join another team.

Pending invites

Below the active members, the page lists invites that haven't been accepted yet. You can:

  • Resend — re-issue the invite email if it was lost.
  • Revoke — cancel the invite. The recipient can no longer accept it.

Once an invite is accepted, the row moves up into the active members list.

When someone can't sign in

  • "Invitation link has expired": Only the most recent invite per email address is valid — every new invite (and removing someone, then re-inviting) invalidates older links. Ask the person to open only the latest invite email they received. If they already have an account, they can simply sign in instead.
  • Had access before and is now locked out: Removing someone from the account does not delete their personal login, so re-inviting won't set a new password. The fix: have them use Forgot password to set a new one — no further invite is needed once they're a member again.
  • Last login still shows "Never" despite an invite: Accepting an invite does not sign the person in. They need to sign in once after accepting.
